What you'll do
Regnology's Bid Operations Team coordinate and set the standard for all publicly solicited procurement and customer / prospect questionnaire driven activity.  The team is in place to ensure the timely and controlled submission of same. 

As a Senior Bid Ops Administrator, you will be responsible for coordinating the response to customer and prospect questionnaires.  You will collaborate closely with internal stakeholders, and internal leadership to ensure that questionnaires are completed on time, within scope and to a high standard. Your ability to manage competing priorities, communicate effectively, and solve problems will be key to success in this role.

You will manage the coordination of each response against a proven process from start to end.  You will be part of team responding to questionnaires in a truly global capacity to both Government Agencies and Private Business.
 
Responsibilities-
  • Coordinate the questionnaire management process, including reviewing questionnaires, analysis, delegation of tasks and establishing timelines for response.
  • You will have input to developing and executing strategies for responding to questionnaires that align with the company’s goals and client requirements.
  • Coordinate and facilitate review meetings, ensuring key stakeholders provide input and address concerns or issues.
  • Work with our response platform, Loopio, including repository upkeep and management. 
  • Coordinating with various stakeholders, including sales, technical, legal, compliance, risk, infosec and finance to ensure all aspects of a questionnaires are addressed.
  • Input to the maintenance of comprehensive and accurate response repository.
  • Ensuring compliance with client requirements, regulations and industry standards.
  • Propose areas for improvement based on your research of industry trends and emerging best practices in the topics covered by due diligence and security questionnaires.

  • 3+ years of experience as a senior administrator or a similar role.   
  • Experience in coordinating multiple stakeholders from different teams for a focused outcome.
  • Knowledge / interest in topics such as information security, ESG, compliance and risk a benefit. 
  • Demonstrated success of supporting projects that adhere to deadlines. 
  • Proficiency in using MS Office, adaptability to new tools such as questionnaire management tools and various portals in use by customers and prospects.
  • Attention to detail and high accuracy in questionnaire preparation and review.
  • Ability to collaborate with cross-functional teams and influence stakeholders at various levels.
  • Fluent English verbal and written skills.  French, German and or Polish capabilities a bonus.
  • You are based in Romania.
